Paperless Attendance Register: Switch Your Club From Paper in One Day
Paper registers survive in sports clubs not because they're convenient, but because switching feels like a project: "I'd have to move everything over, learn a new tool, and I run six groups." In practice the switch takes one evening, and the first month pays it back: no flipping pages, no counting attendance by hand, no reconstructing records after a lost page. Here's the step-by-step plan.
What a paper register actually costs you
- A single copy. The notebook gets left at home, soaked or lost — and the history is gone.
- Manual counting. "How many sessions did Dias attend this month?" means flipping pages and counting cells.
- No link to money. Attendance lives in the notebook, payments live in your head — a per-session pass never reconciles on paper.
- No analytics. You can't see who started coming less often and is about to quit — until they're already gone.
What a coach's digital register must do
- Mark a whole group in seconds, not a name-by-name roll call with typing.
- Work offline — gyms with one bar of signal aren't going anywhere.
- Build the attendance grid — a summary of every student and session — by itself.
- Connect to payments: attendance consumes sessions from passes, and debtors are computed automatically.
The one-evening migration plan
Step 1. Create your groups (10 minutes)
Set up groups the way they exist in real life: "Juniors 5pm", "Seniors 7pm", with days and times. In Trainer Pad, scheduled sessions then appear on the home screen under "Today's sessions" automatically.
Step 2. Move your students over (30–60 minutes)
All you need from the notebook is the name and a parent's phone number — everything else (birth date, notes) can be filled in gradually. Don't migrate past months: the digital register starts "from today", and the notebook stays as the archive.
Step 3. Record payment status (20 minutes)
For each student, note the current state: paid up until what date, or how many sessions remain on the pass. From that moment on, debtors are computed automatically.
Step 4. Your first roll call (30 seconds)
Open the session from the home screen, tap "Mark all" and untick the absentees — the "X of N" counter shows the result. You can record an excused reason for absences. With no signal in the gym everything works the same: marks are stored on the phone and sync when the connection returns.
What you get instead of a notebook
| Notebook | Digital register | |
|---|---|---|
| Marking a group | 1–2 minutes | Seconds ("Mark all") |
| Monthly attendance grid | Count by hand | Built automatically |
| Per-student history | Flip pages | Open the student card |
| Per-session passes | Never reconcile | Consumed by attendance |
| Debtors | From memory | List on the home screen |
| Risk of loss | Single copy | Backed up after sync |
FAQ
Do I need internet in the gym?
No. Open the app once with a connection so your groups load onto the device — after that, marking works offline.
Should I migrate the history from the notebook?
Not necessarily. Start from today and keep the notebook as an archive — migrating past months is almost never worth it.
Do I need to install anything from an app store?
No: Trainer Pad runs in the browser on Android and iPhone — open app.trainerpad.asia and add it to your home screen.
