Student portal: what parents see and how to turn it on
Count how many times a week you answer the same four questions: "What time is practice tomorrow?", "Did we pay for September?", "How many sessions has Arman missed?", "What's happening with the competition?". Multiply that by the number of students. What you get is a second job — a dispatch desk nobody pays you for.
The student portal closes that desk. A parent opens the app and sees the same data you do — but only for their own child. The chat questions stop, not because you stopped answering, but because there is nothing left to ask.
What the student sees: five screens
Five tabs at the bottom of the portal. Nothing extra — everything it opens belongs to that one child.
1. Home — the "how's it going" answer in five seconds
- Payment status. A green "paid" with the date the period runs to, or a red "payment due" with the amount.
- Next session. Day, time and group — with the cancellations and reschedules you marked already applied.
- Attendance over 30 days. The "12 out of 14" figure a parent normally has to interrogate someone for.
- Next event. A competition, camp or trip, if the student is signed up.
- Achievements. Medals and place in the group ranking.
2. Schedule — no more "is there practice tomorrow?"
The three nearest sessions at the top, the rest behind a "show all" button. Past sessions carry their mark: attended, missed, excused, cancelled or rescheduled. Below sits a block of upcoming events with a countdown ("in 5 days") and the fee still outstanding, if there is one.
3. Payments — history instead of arguments
Current period status, the amount due and the full payment history: date, amount, the "from" and "to" dates of the period or the number of sessions on the pass. If you run several groups, payments are grouped by group. The "but we definitely paid in August" conversation turns into "open the portal, it's all there".
4. Achievements — the part children actually open
Medals (gold, silver, bronze), a list of results with placings, and the group ranking. Children open this more often than the schedule — which is good news: the club stays visible between sessions, not only in the gym.
5. Profile — details and settings
Student details (date of birth, groups, status, belt or grade, medical certificate and membership expiry), the switch between siblings and the notifications toggle. Logging out lives here too.
Payment reminders: three channels

All three channels calculate the amount with the same rules as the debt on your own home screen — including the individual price, if one is set in the student card. No "the app says one thing, the reminder says another".
How to turn it on in a minute
- Make sure the student card has a phone number — that number is the login. Usually it's the parent's.
- Open the card → "Student cabinet" block → Invite.
- A window opens with a link and a QR code. Show the QR to the parent in the gym, or send the link over WhatsApp with the Share button.
- The parent opens the link, enters that same number from the card and picks a password. Done — the portal is open.
The link is single-use and valid for 7 days. The number entered at sign-up is checked against the card, so a forwarded link is useless to anyone else.
Two children, one parent
Invitations are issued per child, so the parent follows two links with the same phone number. The account stays single, and a switch between children appears at the top of the portal. No second password to invent: when adding the second child, the parent enters the password of the account they already created.
A separate app for students
Students get their own app, not the coach's one. On the student's phone open app.trainerpad.asia/athlete-login and choose "Install app" from the browser menu (on iPhone — Share → Add to Home Screen). A "TP Student" icon appears on the home screen and the portal opens without an address bar. If the coach app is installed on the same phone, the two icons live side by side without interfering.
When a student can't log in
The most common case: the invitation link has already been used — sometimes by the coach, just to "have a look" — so reopening it shows "this link has already been used". The second case is a forgotten password.
The fix is the same for both: in the student card, next to "Cabinet connected", press New link and confirm. The familiar window with the link and QR opens, and the student sets a password again. Schedule, payments, attendance and achievements stay where they are, and there is no need to re-add anyone to groups. The card also shows the phone number the student logs in with.
If the student's number belongs to another coach's portal, the reset is refused and the app says so. In that case the other coach resets the password: your card can't unlock someone else's account.
What the portal does not show
Say this to parents up front — the "what do they see about other families?" question always comes up.
- Coach's notes — visible to you and no one else.
- Club finances — analytics, expenses and income by group stay in the coach app.
- Other students' data — never served. The single exception is a name in the group ranking, where a ranking is meant to be public.
Every portal request verifies the link: account → child → data. Substituting someone else's identifier to pull their card is not possible.
Plans
The student portal is part of Pro and Club and is available during the trial period. On the Basic plan the Invite button opens a window with upgrade terms. If a subscription lapses, the student sees a message that the portal is temporarily unavailable: all data is kept and comes back the moment the plan is paid — nobody needs to be invited again.
Rollout checklist for one group
- Check the phone numbers in your student cards — no number, no invitation.
- Invite two or three of your easiest families first and watch how they get on.
- Announce it to the rest in one group-chat message: what's new, and that "when is practice" and "did we pay" are now answered in the app.
- Show the QR in the gym to anyone who didn't open the link — faster than texting.
- Ask them to switch notifications on in Profile: that takes payment reminders off your plate.
After that the portal runs itself: you mark attendance and record payments as usual, and parents see the result without a single question in the chat.
