How to Track Students in a Sports Club: Notebook, Excel or an App
With 8–10 students, tracking feels easy: you remember the names and roughly who has paid. Problems start at 15–20 students across two or three groups: trial students appear, someone pauses training, half the kids are paid for by parents, and you no longer know whose number is saved in your phone. Let's compare three ways to keep a student register — a notebook, Excel, and a dedicated coach app — and what you actually need to record so you lose neither people nor money.
What to record for every student
- Contacts — the student's phone, and for kids the parent's name and phone: the parent is who pays and decides.
- Status — active, on trial, paused, left. Without statuses, a year-old list turns into a graveyard and you don't know your real headcount.
- Group — which group (or groups) the student belongs to and their schedule.
- Payments — when they paid, for what period or how many sessions, when the membership expires.
- Attendance — the "present/absent" history. It's your argument with parents ("missed 6 of 8 classes") and the basis for fair recalculations.
Plus the small things every club runs into: medical certificate, insurance, uniform size, belt or rank, coach notes ("recovering from injury — protect the knee").
Option 1. A paper notebook
The classic: a grid across a spread, names on the left, dates on top, ticks for attendance, circles for payments.
Pros: nothing to learn, works with no phone or internet, marking takes seconds.
Cons:
- there is exactly one copy — lose it or leave it at home and the history is gone;
- no analytics: monthly income and overdue payments are counted by hand;
- parent contacts live elsewhere (in your phone), statuses live in your head;
- several groups mean several notebooks that nobody cross-checks.
Option 2. Excel or Google Sheets
The next step: a "Students" sheet, a "Payments" sheet, an "Attendance" sheet. Plenty of templates exist online, and it genuinely beats paper at first.
Cons:
- filling in a spreadsheet from a phone in the gym is painful — coaches usually "catch up" in the evening from memory, and errors creep in;
- the sheets are held together by formulas that one careless edit can break;
- overdue payments won't surface themselves — you have to build and maintain conditional formatting;
- in a basement with no signal, Google Sheets may simply not open.
Option 3. A coach app
A dedicated app combines the same things — student base, payments, attendance — but the structure is ready-made and the routine is automated. Using Trainer Pad as the example:

How to migrate from paper or Excel to an app

- Set statuses: who's on trial, who's paused — don't drag "left" students into the active list.
